Before booking your photoshoot with Aspect Visuals, it is important that you carefully read and understand these Terms and Conditions. By engaging our services, you agree to be bound by these terms, which outline our mutual obligations and protect your rights as a Client and ours as the Company.

1. Deliverables

Aspect Visuals specializes in Real Estate Photography, Videography, Virtual Tours, and Lifestyle Photography. Our deliverables include high resolution photographs, video content, and virtual tour media, as specified in your service order. The scope of work will be outlined in your booking confirmation which itemizes the services requested.

2. During the Photoshoot

• Property Preparation Is Required
  We require that the property is fully prepared and staged prior to our arrival, following the guidelines provided at the time of booking. Our photographers and videographers will capture the property as-is and are not responsible for any cleaning, staging, or organizing on site. Any specific requests or shot lists must be submitted at least 48 hours prior to the scheduled appointment to allow for proper planning.

• Client Responsibility and On-Site Representation
  To ensure expectations are met, we strongly recommend that the Client or their authorized representative be present at the property during the appointment. Our role is to professionally capture the property, but responsibility for managing property readiness, coordinating access, and handling owners, tenants, or occupants belongs to the Realtor. Realtors should not rely on Aspect Visuals to fix issues that were not addressed in advance.

• Tenant or Business Occupied Properties
  Tenant or Business occupied properties will be photographed strictly as-is. Due to liability, privacy, and respect for tenant rights, our team will not handle, move, or adjust tenant belongings under any circumstances. Realtors are responsible for communicating with tenants to ensure the property is prepared prior to the shoot. Because these situations can be sensitive, we require that Realtors or property managers be on-site to represent both the tenant and our team during the appointment.

• Occupied Properties (Owner-Occupied or Vacant Properties)
  In seller-occupied or vacant properties, our photographers may adjust small items such as pillows, light decor, or minor distractions with the owner's permission. However, we do not move heavy furniture, large items, or conduct major decluttering. The property should be fully staged and ready prior to our arrival.

• Post-Production Digital Decluttering (Optional Service)
  In cases where minor items remain in the photos, digital decluttering may be available as an optional post-production service. Pricing starts at $20 per image, with rates increasing based on complexity or severity of the work required. These advanced edits may require several additional business days to complete and will be billed separately from the standard shoot.

• Site Readiness and Scheduling Conflicts
  The property must be fully ready at the start of the scheduled appointment. If delays occur due to vendors, contractors, stagers, cleaners, inspectors, buyers, or agents still on-site, the appointment may be postponed, rescheduled, or canceled at the discretion of Aspect Visuals. Additional fees may apply.

• Scope of Services
  Aspect Visuals provides media services only. Our personnel are not responsible for cleaning, moving heavy furniture, organizing rooms, or resolving preparation issues onsite.

• Safety Compliance
  The Client is responsible for ensuring a safe environment for our team. Aspect Visuals reserves the right to cancel, postpone, or reschedule the shoot if unsafe conditions are present.

• Pet Policy
  All pets must be secured or removed from the property before the appointment. This is necessary to protect the safety of our crew, equipment, and the integrity of the final media. We may have to cancel certain services due to pets being loose that can damage our equipment if knocked over.

• Photography Scope

  Unless specifically requested at least 48 hours in advance, smaller areas such as closets, garages, or utility rooms will not be photographed.

• Fees for Changes
  Additional charges may apply for cancellations, postponements, or reschedules due to property readiness issues.

3. After the Photoshoot

Post-production work will commence immediately after the photoshoot. We aim to deliver the final media within 48 hours of the shoot. Any revisions or additional edits requested beyond the scope of the original agreement will incur additional charges and extend turnaround time.

4. Cancellation Policy

Cancellations or rescheduling must be made at least 24 hours prior to the scheduled shoot time. Cancellations made after this period may be subject to a cancellation fee of 50% of the booked appointment. If the photoshoot is delayed by inclement weather, we will prioritize rescheduling at the earliest available opportunity.

5. Rights and Usage

The images produced by Aspect Visuals for a Client are primarily intended for use in the Client's marketing endeavors, including promotional materials related to the property, as well as for the Client's personal marketing purposes. Furthermore, these images can be utilized by the Client's parent company exclusively for marketing activities pertaining to the specific property that has been photographed.

It is important to note that while the Client and the Client’s parent company are granted a license to use these images, the ownership of the images remains with Aspect Visuals. This license is exclusive to the Client and the Client’s parent company and does not extend to any third parties.

Usage of the images by any third parties, such as architects, builders, stagers, designers, sellers, or buyers, is not permitted under this agreement. Such usage requires explicit written consent from Aspect Visuals. This policy ensures the protection of the Photographer's rights and the integrity of the work. If usage is requested, please have the interested party contact us through our website at www.aspectvisuals.co. Copyright of all media remains with Aspect Visuals.

6. Payment Information

Payment is due upon delivery of the final media. We kindly remind our clients that the release of any final deliverables, including images, videos, and virtual tours, will be contingent upon the receipt of full payment. This policy is applicable unless alternative payment arrangements have been agreed upon and documented at the time of scheduling your service with Aspect Visuals.

By booking a photoshoot with Aspect Visuals, you acknowledge that you have read, understood, and agreed to these Terms and Conditions.
